Xero has built a real foothold in the US small business market, especially among cloud-native, integration-heavy businesses. We're a certified Xero Partner, which means our team has done the certifications, attends the Xero updates, and tracks the feature roadmap. The practical effect: when Xero releases something useful (and they release a lot), we know about it before you do.

We work in Xero every day. Setup, migration from QuickBooks, day-to-day bookkeeping, app integrations, payroll. We've cleaned up files where the chart of accounts had drifted into 200 line items, we've migrated years-old QuickBooks Desktop files where the data needed careful attention, and we've set up new files for sole proprietors moving off spreadsheets.

If your Xero file is already humming, we step in and run it. If it's a mess, we fix it first. If you're not on Xero yet and you should be, we'll move you across cleanly.

Where xero bookkeeping actually helps

The real before-and-afters. Each pain on the left is something we hear most weeks. The fix on the right is what changes once we are running.
  • I am on Xero but my chart of accounts has 200 line items and reports are unreadable
Onboarding includes a chart of accounts rebuild. Reports go from noise to actionable.
  • I have been told I should switch from QuickBooks to Xero but the migration scares me
Migration runs as a one-to-three week project with parallel-running. Old file stays read-only as a reference.
  • I keep buying Xero apps that promise things and then never use them
We tell you which two or three integrations actually move the needle for your business and skip the rest.
  • My Xero plan feels too expensive for what I use
Plan-tier review during onboarding. Most clients are on the right plan for what they need; some are paying for features they never use.
  • I bought Xero ages ago and never actually set it up properly
File audit, opening balances reconciled to your last filing, integrations set up, training. The file finally becomes useful.

Working with a Xero specialist, not a generalist

Xero ships small product updates weekly and substantial feature releases roughly each quarter. The reporting engine has been rewritten twice in the last five years. Bank feeds have moved through several iterations. Payroll integrations have changed how items map to tax categories. The practitioner who sees Xero five days a week catches these shifts in real time; the practitioner who sees Xero a few times a month does not.

We are practitioner-deep on Xero. Bank reconciliation rules, multi-currency handling, projects module, fixed-asset register, expense claims via Xero Me, the new reports versus the legacy reports, Xero HQ for advisor-level oversight. The depth shows up in small ways across the work: bank rules built once and reused, reports that map to your management view, integrations that don't break each Xero update.

If you were going to hire one in-house Xero person, you would want someone who has spent years inside the product. Outsourcing to us is the same outcome at a fraction of the cost.

How xero bookkeeping with Bookflexy runs

Three steps from first call to the boring monthly rhythm. Boring is the goal here, the books should be the least dramatic part of your week.
  1. Step 1

    Discovery call (15 min)

We learn what you're on now, what's working, and what's not. Migration scope (if relevant) is sized on the call.

  2. Step 2

    Xero setup or migration

New Xero file with the right plan, or migration from your existing platform with historical data brought across cleanly. Opening balances reconciled to your last filing.

  3. Step 3

    Ongoing in Xero

Reconciliation, tax-ready prep, payroll, reports. All in Xero. You see the work happening live, and you keep your access.

"Shopify, Etsy, Amazon, plus a bit of wholesale on the side. I was reconciling Stripe payouts manually at midnight every Sunday. They set up A2X and now it just runs. I sleep on Sundays."

Why US small businesses choose Bookflexy for xero bookkeeping

Certified Xero Partner

Our team holds Xero certifications, attends updates, and tracks the feature roadmap. Once our certification badge is finalized it appears in the trust bar on every page.

Migration specialists

QuickBooks to Xero, spreadsheet to Xero. The migration is a project, not a toggle. We size it, run it, and reconcile the new file against the old before going live.

Xero-only training for our team

Bookkeepers on the Xero side of our practice work in Xero exclusively. The depth that builds up is hard to fake.

Integrations advised, not just installed

There are over a thousand apps in the Xero App Store. Most aren't worth the subscription. We tell you which three or four actually move the needle for your business.

Latest features mastered

Xero ships small improvements weekly. New reporting, payroll updates, bank feed handling. We adopt the ones that help and skip the ones that are noise.

Chart of accounts done right

A clean Xero chart of accounts is the difference between reports you read and reports you ignore. We rebuild yours if it has drifted.

How pricing works for xero bookkeeping

No flat tiers. Every quote sized to your business. The form takes about 60 seconds and the answer arrives the same day.

Xero bookkeeping pricing depends on transaction count, payroll size, filing rhythm, and the integrations you run. Migration projects are priced separately as one-off work, with the ongoing retainer starting after migration cutover.

The quote you get back lists the monthly retainer, any one-off setup or migration cost, and the integration costs (the apps you'd subscribe to directly through Xero). Nothing's bundled to look smaller than it is.

Pricing factor

Plan tier

The Xero subscription itself is paid by you direct. Our retainer assumes the right plan for your business, with a recommendation if a tier change saves you money.

Pricing factor

Transaction count

High-volume Xero files need more reconciliation work. A consulting business and an eCommerce business at the same revenue are different jobs.

Pricing factor

Integrations live

Each integration (A2X, Dext, Stripe, Gusto) carries setup time and ongoing monitoring. We list these separately in the quote.

Pricing factor

Migration scope

A clean greenfield Xero file is the cheapest start. Migration from QuickBooks Desktop is a project. We quote migration alongside ongoing.

Pricing factor

Payroll size

Xero Payroll seats and the work of running pay each cycle scale with headcount and complexity.

Pricing factor

Reporting needs

Xero standard reports are baked in. Fathom or Spotlight dashboards are add-ons priced separately.

Your first 90 days

What the first three months feels like once we are running. Most clients tell us month two is the moment things stop feeling held together with tape.
  1. Week 1

    Xero set up or audited

New file or existing file audited. Chart of accounts rebuilt where needed. Bank feeds connected.

  2. Week 2

    Integrations live

Dext, A2X, Stripe, payroll integrations wired in. Test transactions confirmed.

  3. Month 1

    First full cycle

Reconciliation, vendor bills via Dext, customer invoicing, payroll. Monthly P&L by month-end.

  4. Month 3

    Books ready from Xero

Books prepared and kept tax-ready direct from Xero. The cycle is steady from here.

Xero Bookkeeping FAQ

Two things to remember

Every account is reconciled and kept tax-ready by an AIPB-certified bookkeeper. Every account is run inside the US, by a US-based bookkeeper. Those two facts shape almost every other decision on this page.
