How pricing actually works
Every monthly retainer we quote sits on three numbers: how many transactions go through your accounts, how complex your filing and payroll are, and how much industry-specific compliance the file carries. None of those are public. All of them shape the price.
We do not run flat tiers because they punish everyone except the businesses they were named for. A sole proprietor running a hundred transactions a month should not pay the same as a small cafe with payroll and POS. So instead of a tier list, you fill a 60-second form and a written quote arrives in your inbox the same business day.
If you say yes, we move into onboarding the same week. If you don't, the quote stays in your inbox. There is no chase sequence and no expiry.
What changes the quote
Transaction volume
The single biggest driver. A hundred transactions a month is a different job to a thousand. We measure against your actual recent data, not an estimate.
Number of employees
Payroll size, frequency, and W-2/1099 mix each shift the work. Weekly hospitality payroll is a heavier job than monthly clerical payroll.
Filing frequency
Quarterly is most common. Monthly closes shift the cadence. Annual is reserved for very small businesses only.
Industry compliance
Trust accounts, multi-state sales tax nexus, 1099 volume for construction, IFTA for trucking. Each adds scope.
Catch-up state
If your books are more than three months behind, the catch-up is quoted as a one-off project before the monthly retainer kicks in.
Reporting cadence
Monthly P&L is standard. Custom dashboards, cash flow forecasts, KPI reporting are add-ons priced separately.
What you get every month
The shortlist of work that runs on every retainer. We add to this for industries with their own compliance angles, and for clients with payroll.
- Bank reconciliation across all accounts
- Transaction coding with correct tax categorization
- Vendor and customer invoice handling
- Books kept tax-ready ahead of quarterly deadlines
- Monthly profit and loss + balance sheet, with a plain-English summary
- A real human at the end of the email
What we don't do
We are bookkeepers, not a one-stop accounting firm. Tax filing, statutory audits, and financial planning are deliberately out of scope. Your CPA or EA handles the tax return; we hand them a clean year-end pack so the return is faster and cheaper.
- Tax return filing and IRS representation (your CPA or EA)
- Statutory audits (an external auditor)
- Strategy decisions (you, with our reports as input)
- Investment or financial planning advice
Skip the guessing. Get a written number.
One form. One quote. One business day.
The quote process, step by step
Step 1
You fill the form
Eight questions, about 60 seconds. Software, business size, filing frequency, where it hurts. The form posts straight to our inbox.
Step 2
We send a written quote
Usually within one business day. The quote lists the monthly retainer, what is in scope, and what is an add-on. Nothing is hidden.
Step 3
You decide
Yes, no, or come back in three months. The quote stays valid. There is no chase sequence, no expiry, no pressure.
Step 4 (if yes)
Onboarding kicks off
File audit, software access, chart of accounts agreed. First monthly cycle is on the calendar inside seven days.
What clients say about how we quoted them
"We took on a big job last year and the 1099 subcontractor payments nearly broke me, tracking who I paid, chasing W-9s, all of it. I called three bookkeepers and they were all 'we'll get back to you with a quote.' These guys came back the next morning with a number, started the following Monday."
Pricing FAQ
A note on what published pricing means in our category
Bookkeeping pricing in the US genuinely varies on the factors above. A few firms publish flat tiers; most do not, for the reasons explained on this page. We chose the quote-form path because it lets us send an honest number for your specific business, rather than a tier you have to wedge yourself into.
