Quarterly estimated tax is the most-watched piece of a US small business's compliance calendar. Miss a deadline or show up with a mess of unreconciled transactions and your CPA or EA is left scrambling, and so are you. Show up with clean, categorized books four quarters running and the deadline stops being an event.

We are not a CPA firm, and we don't file your taxes or represent you before the IRS. What we do is keep your books reconciled, categorized, and organized so that whoever handles your filing, your CPA, your EA, has everything they need without a last-minute cleanup. If you don't have a CPA or EA partner yet, `[EA_CPA_PARTNER_CREDENTIAL]` reflects our current filing partnership, where one is in place.

What you get is the boring kind of readiness. Income and expenses categorized correctly as they happen. Sales tax collected tracked by state (we track, we don't remit). Payroll withholding reconciled against what actually went out. Books that sit ready two weeks before each quarterly deadline, not the night before.

Where quarterly tax-ready bookkeeping actually helps

The real before-and-afters. Each pain on the left is something we hear most weeks. The fix on the right is what changes once we are running.
  • Quarterly deadlines sneak up on me every time and I am scrambling the last weekend
Books sit ready two weeks before the deadline. The scramble disappears.
  • I am not sure my expense categorization is correct for tax purposes
Every transaction reviewed before the quarter closes. Common categorization errors caught and fixed before your CPA sees them.
  • I do not know if I am setting aside enough for my quarterly estimated tax payment
We keep the books current so your CPA or EA can calculate your payment accurately, not off stale numbers.
  • I collected sales tax in a state I did not realize I had nexus in
Sales-tax-collected tracking by state, so you and your CPA can see exposure before it becomes a surprise.
  • I had a bookkeeper who was hard to reach when my CPA had questions at filing time
Your CPA or EA gets a direct line to us. Questions get answered within one business day.

What "tax-ready" looks like in detail

Keeping books tax-ready is not data entry. It is judgment applied to categorization, sales tax exposure, payroll withholding, and the small handful of edge cases that break a clean handoff to your CPA or EA. Home office and mixed-use expenses. Multi-state sales tax nexus. 1099 versus W-2 payments. Vehicle mileage. Each carries a rule, and each rule needs to be applied correctly across the period.

We work backwards from each quarterly deadline. Two weeks before, the period is reconciled and a categorization review runs line by line against source documents. Sales tax collected is tracked state by state so nothing catches you by surprise at filing time. Where it makes sense, we flag questions for your CPA or EA well ahead of the deadline instead of the week of.

When your CPA or EA has a question about a specific transaction, we answer it. Most questions are routine, a receipt to locate, a categorization to confirm. Where the matter is bigger, we coordinate directly with them and provide the bookkeeping side of whatever they need. Calm beats scrambling, every time.

How quarterly tax-ready bookkeeping with Bookflexy runs

Three steps from first call to the boring monthly rhythm. Boring is the goal here, the books should be the least dramatic part of your week.
  1. Step 1

    Discovery call (15 min)

We learn your filing rhythm, your software, your prior bookkeeping state, and whether you have a CPA or EA in place. You get a fit assessment on the call.

  2. Step 2

    Onboarding

We connect to your file, audit the categorization for the past quarter, and clean up anything that would carry forward.

  3. Step 3

    Quarter on quarter

Reconciliation through quarter end. Books ready for your review. Handoff to your CPA or EA with two weeks of buffer. No surprises.

Why US small businesses choose Bookflexy for quarterly tax-ready bookkeeping

AIPB certified

All bookkeeping work reviewed by an AIPB-certified bookkeeper. We keep your books ready; your CPA or EA handles the actual filing.

No categorization errors

Every transaction is reviewed before the quarter closes. The most common tax-prep headaches come from incorrect categorization on a handful of transactions. We catch those before your CPA does.

Ready early, every quarter

We work to a two-week buffer before each deadline. If the buffer is at risk we tell you the week before, not the day of.

Direct line for your CPA or EA

Your tax professional can reach us directly with questions about the books. No relay through you, no delay.

Audit-ready records

When your CPA needs substantiation for a deduction or a credit, the records are already in your software, categorized correctly, with the source document attached. We don't scramble.

Sales tax exposure tracked

Sales tax collected is tracked by state as your business grows into new markets, so multi-state exposure doesn't surprise you at filing time.

How pricing works for quarterly tax-ready bookkeeping

No flat tiers. Every quote sized to your business. The form takes about 60 seconds and the answer arrives the same day.

Pricing for quarterly tax-ready bookkeeping depends on whether you're on a quarterly, monthly, or annual cadence, on the transaction volume going through the period, and on whether your bookkeeping is current going in (or whether the work also includes catch-up reconciliation). Payroll withholding and multi-state sales tax complexity also shift the work.

Fill the quote form and you'll get a written number the same business day. The quote separates ongoing bookkeeping from any catch-up work needed to bring the file to a state where it's ready. Nothing gets bundled to look smaller than it is.

Pricing factor

Filing frequency

Quarterly estimated tax is most common. Monthly closes cost more per cycle but add up to more visibility. Annual is light and reserved for very small businesses.

Pricing factor

Transaction volume

A quarter with 300 transactions reviews differently than a quarter with 3,000. We size against your actual recent volume.

Pricing factor

Multi-state complexity

Sales tax nexus tracking across several states carries deeper review work than a single-state business.

Pricing factor

Payroll involvement

Payroll withholding reconciliation adds work versus a business with no employees.

Pricing factor

Pre-engagement state

If your books are current going in, the tax-ready work is fast. If we are also reconciling, that catch-up work is quoted separately so you can see both numbers.

Pricing factor

CPA/EA coordination

Direct coordination with your tax professional on questions or documentation requests is included in the standard retainer.

Your first 90 days

What the first three months feels like once we are running. Most clients tell us month two is the moment things stop feeling held together with tape.
  1. Week 1 of quarter

    Reconciliations rolling

Bank feeds reconciling weekly. Vendor bills categorized as they arrive. No deadline-specific work yet.

  2. Week 8

    Mid-quarter check

Half-quarter snapshot. Estimated tax trajectory checked against your CPA or EA if needed. Anything unusual flagged.

  3. Week 11

    Pre-deadline review

Categorization reviewed line by line. Books finalized for the quarter. Sent to you and your CPA/EA for review.

  4. Week 12-13

    Handoff

Books handed off with two weeks of buffer before the deadline. Your CPA or EA files. Confirmation logged. Done.

What clients say

"I was 14 months behind and I had ignored two IRS notices. I was waking up at 3am thinking about it. The first call with them was the first time I felt like it was actually fixable. Six weeks later we were caught up and they are my regular bookkeeper now."
Greg, building inspector, Columbus OH
