If your business runs on five different data sources, this is the page for you. Shopify and Amazon and Etsy. Stripe and PayPal and Square. Dext for receipts. QuickBooks or Xero at the center. Most bookkeepers can keep one of those clean. Far fewer can wire the whole stack together so it actually reconciles itself.

That is what virtual bookkeeping with us means. We are not selling "online bookkeeping" as a feature, almost everyone is online now. We are selling integration-first bookkeeping for businesses where the data lives in seven places and needs to land in one. A2X for the marketplaces. Link My Books as the alternative for high-volume Shopify. Stripe and Square mapped cleanly into QuickBooks or Xero. Dext doing receipt capture on your phone before you have left the gas station.

Most of our virtual-bookkeeping clients are eCommerce, SaaS, agencies, content creators, or distributed-team businesses. The work rewards apps wired in deeply rather than bolted on after the fact. We do the cloud setup, the integrations, the chart of accounts rebuilt around the actual data flow, and tax-ready prep on top of clean books. By month two the friction is gone.

Where virtual bookkeeping actually helps

The real before-and-afters. Each pain on the left is something we hear most weeks. The fix on the right is what changes once we are running.
  • My current bookkeeper wants me to drop physical receipts at their office once a month
Snap a photo on your phone. The receipt is categorized by Dext within hours, no commute required.
  • I am paying for desktop accounting software and a bookkeeper who lives nowhere near me
Move the file to the cloud. We work in the same file from anywhere. The desktop install becomes optional.
  • I cannot see what my bookkeeper has done until they email me a PDF report
You stay logged into QuickBooks or Xero. You see the work happening live. The PDF still arrives, but it is not the only window in.
  • I am worried about putting my financial data in the cloud
QuickBooks and Xero both encrypt at rest and in transit and host on US infrastructure. Your data is more secure than the laptop on your kitchen table.
  • I run a multi-channel sales business and reconciling Stripe/PayPal/Shopify is killing my Sundays
A2X or Link My Books wires the platforms in. The reconciliation runs automatically; we review and categorize, you sleep.

What "fully online" means in practice

Fully online does not mean impersonal. It means the workflow is digital end to end so the conversations can be more useful. Receipts photographed at the gas station, vendor bills emailed straight into Dext, customer invoices generated in QuickBooks with a payment link attached. The mechanical work is automated; what's left is judgment.

Most clients have a single video call during onboarding. After that, communication is email or chat through the software. We do not run open office hours or in-person meetings; the model lets us keep pricing competitive. If you genuinely need a video call mid-engagement, we set one up, but it's the exception.

What you'll notice in week one: receipts you photograph today appear categorized in QuickBooks before lunch tomorrow. By week three, the bank feed reconciles itself for the obvious matches and we're handling only the ambiguous ones. By month two, your books sit ready for the quarterly deadline by the third week, not the day before it hits.

How virtual bookkeeping with Bookflexy runs

Three steps from first call to the boring monthly rhythm. Boring is the goal here, the books should be the least dramatic part of your week.
  1. Step 1

    Discovery call (15 min)

We talk through your current setup. What software you're on, where the receipts pile up, what's broken in the workflow.

  2. Step 2

    Cloud setup (1 week)

We migrate or clean up your file, connect the feeds, set up Dext, and wire in any apps you use. You see the file as we go.

  3. Step 3

    Online delivery, every cycle

Reconciliation, tax-ready prep, payroll, reports. Done in the cloud. You get notifications when work is in your file ready to review.

"Shopify, Etsy, Amazon, plus a bit of wholesale on the side. I was reconciling Stripe payouts manually at midnight every Sunday. They set up A2X and now it just runs. I sleep on Sundays."

Why US small businesses choose Bookflexy for virtual bookkeeping

100% online, no in-person meetings

We work in your software, not at your office. If you'd rather a video call we'll do that. If you'd rather email, that works too.

US data handling

Your bookkeeping file is hosted in your accounting software (QuickBooks or Xero) on US infrastructure. Our access is from inside the US. Nothing leaves the country.

Faster reconciliation

Bank feeds plus auto-coding rules cut reconciliation time roughly in half compared to a manual workflow. The week we spend on you in month one pays back from month two.

Receipts captured the moment you get them

Dext on your phone. Snap the receipt at the gas station, it's categorized by the time you've started the engine.

Anywhere in the US

Sole proprietor in Montana, growing business in Austin, cafe group with locations in Denver and Nashville. Same workflow, same outcome.

Apps wired in, not bolted on

Stripe, Square, A2X, Link My Books, Dext, Gusto, Fathom. We use the right ones, not all of them.

Move your books to the cloud, by next month

Migration plus a fresh chart of accounts plus integrations wired in. Tell us what you have now and we will quote the move.

Three businesses, fully online

A snapshot of how virtual bookkeeping shapes up across different small business types.

Solo consultant invoicing four clients a month

Lives on QuickBooks, invoices through it, gets paid through Stripe. Quarterly estimated tax, no payroll. Wants the books off her desk so she can spend the evening with her family.

What changes

  • Bank feeds and Stripe wired in
  • Dext on her phone for travel receipts
  • Quarterly estimated tax prep on schedule
  • Monthly P&L by 5th of the following month

How pricing works for virtual bookkeeping

No flat tiers. Every quote sized to your business. The form takes about 60 seconds and the answer arrives the same day.

Virtual bookkeeping pricing follows the same logic as everything else we do. Transaction count, software, filing rhythm, payroll size, integrations. Two cloud-only businesses can have wildly different volumes, and we'd be guessing if we published a flat tier.

The quote form takes about 60 seconds. You'll get a written number in your inbox the same business day, with integrations and add-ons priced separately so you can see exactly what you're paying for.

Pricing factor

Transaction volume

Cloud feeds reduce the manual work but the underlying volume still drives the time. A high-volume eCommerce file is more work than a low-volume consulting file.

Pricing factor

Number of integrations

A2X, Link My Books, Stripe, Square, Dext, Gusto. Each integration is a one-off setup plus ongoing monitoring; both are factored in.

Pricing factor

Migration complexity

A clean QuickBooks file already in the cloud is fast to onboard. A messy desktop file with ten years of history is a project in itself.

Pricing factor

Filing frequency

Quarterly estimated tax is most common. Monthly closes shift the cadence and pricing. Annual is reserved for very small businesses.

Pricing factor

Payroll

W-2 and 1099 setup, multi-state payroll, benefits tracking. Headcount and pay frequency drive the cost.

Pricing factor

Custom reporting

Standard monthly P&L and balance sheet are baked in. Custom dashboards (Fathom, Spotlight) are add-ons.

Your first 90 days

What the first three months feels like once we are running. Most clients tell us month two is the moment things stop feeling held together with tape.
  1. Week 1

    Cloud setup

File migrated or audited. Bank feeds connected. Dext on your phone. Integrations wired in.

  2. Month 1

    First full cycle

Reconciliations, vendor bills processed via Dext, customer invoicing live in QuickBooks. First monthly P&L by month-end.

  3. Month 2

    Auto-coding rules building

Dext starts auto-coding common vendors. Bank feeds reconcile most matches automatically. Manual time drops further.

  4. Month 3

    Books ready from the cloud

Books sit ready ahead of the quarterly deadline, prepared entirely from the cloud file. The whole cycle has run without paper.

Virtual Bookkeeping FAQ

Two things to remember

Every account is reconciled and kept tax-ready by an AIPB-certified bookkeeper. Every account is run inside the US, by a US-based bookkeeper. Those two facts shape almost every other decision on this page.
