QuickBooks has been the backbone of US small business accounting for decades, and a lot of established businesses still run on it for good reason. Inventory, industry-specific reporting, deeper job costing, and the sheer number of CPAs already fluent in it still make QuickBooks the default for plenty of businesses.

We work across the full QuickBooks product line. QuickBooks Online (the modern cloud product), QuickBooks Desktop (the heritage product, still strong for inventory and job costing), and QuickBooks Self-Employed (the lightest tier, aimed at freelancers and sole proprietors). All three handle bank feeds and tax-ready book prep well.

Some clients come to us already on QuickBooks and want it staying that way. Others come to us asking whether to switch to Xero. We give an honest answer either way. If your file is humming on QuickBooks and your CPA is happy with the year-end pack, there is rarely a strong reason to move you off it.

Why QuickBooks still works (and where it does not)

QuickBooks Desktop, especially in Enterprise form, remains a strong product for US businesses with deeper inventory needs, industry-specific reporting, or job-cost tracking. The product was built for that complexity from day one and the depth still shows. For contractors running progress billing, manufacturers tracking bills of materials, or wholesalers managing serial-tracked inventory, the move to a lighter cloud-native alternative can lose functionality.

QuickBooks Online is QuickBooks's modern cloud answer, lighter than Desktop Enterprise and aimed at growing small businesses. It covers the basics well: bank reconciliation, invoicing, tax-ready prep, basic payroll and inventory. It is simpler than Desktop in some areas and more accessible in others. The right pick depends on which features you actually need.

Where QuickBooks stops being the right choice: cloud-native, integration-heavy businesses that want a wide app ecosystem, fast feature iteration, or modern reporting. In those cases we'd recommend Xero, and we run the migration if that's where you land. We are partners with both, so the recommendation is based on your business, not on which platform pays a higher commission.
